Book appointments with iClosed
Connect your iClosed account so the agent can announce free slots during a call and book them straight into iClosed. Setup takes a few minutes and follows the same order as Calendly and YouCanBookMe.
Prerequisites
- An iClosed API token. It starts with
iclosed_and lives in the developer / API settings of your iClosed account. - An iClosed event without required extra questions. The agent cannot fill in questions that iClosed marks as required – the booking would be rejected. An event that only asks for name, email and phone works with no further setup.
1. Connect iClosed
- Open Integrations and pick the iClosed tile.
- Paste your API token (
iclosed_…) and confirm with Connected.
Zyles checks the token against iClosed immediately. If it is rejected, the integration is not saved as connected – so a wrong or expired token is caught here, not later during a call.
2. Get the event link
- In iClosed, open the event you want booked.
- Copy the booking link.
Zyles only needs the part after the domain – the pattern
<account>/<event>, for example my-account/intro-call. The full URL is
accepted and automatically trimmed to that part.
3. Configure the agent for booking
- Open the AI agent that should book.
- Turn on appointment booking.
- Choose iClosed as the provider.
- Pick the connected integration from step 1.
- Enter the event link from step 2.
- Give the calendar a name. The agent uses this name during the call.
You can add several calendars to one agent. The names must differ – when a caller names a calendar, the first match wins.
Technical details of the configuration object (tools.calendly, the
provider field, and so on) are described under
Configuring appointment booking
in the agent reference. For setup via the app, the steps above are enough.
4. Test it
Verify the booking before letting the agent handle real calls:
- Test in the browser – talk on the agent page; it costs no minutes.
- Or place a test call to your own number.
Delete the test booking in iClosed afterwards. Cancelling via the API is not possible, so the test appointment will not disappear on its own.
What happens on a call
- The agent fetches the free slots for the next 7 days (German time) and announces them: "These slots are free in <calendar>: …"
- It books with name, email and phone number. iClosed requires at least email or phone.
- Success line: "Perfect, I've booked the appointment on … for you. You'll receive a confirmation by email shortly." The confirmation email comes from iClosed.
- In Zyles the lead is then marked as "Appointment booked".
- If the slot is gone or no closer is available, the agent offers a different time.
- If iClosed is unreachable, the agent says it cannot confirm the appointment and books nothing.
Prompt tips
- State the goal of the call (schedule an appointment).
- Have the agent confirm email and phone before booking.
- Have it name only calendar slots, never made-up ones.
- Use
{{today}}as the reference point for dates. - Have it repeat the date and time after booking.
- Put no links or tokens in the prompt – those belong in the booking setup.
Limits & FAQ
- No cancelling or rescheduling via the API. This depends on the iClosed plan; the customer changes an appointment directly in iClosed.
- Extra questions are not filled in. Required extra questions block the booking – use an event without them.
- Time zone. If the event has no time zone, slot times are treated as
Europe/Berlin. - Rate limit: 20 requests per 10 seconds.
- "No free slots" → the calendar is full or the event link is wrong.
- "Agent names slots but doesn't book" → the email address is missing.
